Job Description

Our client, a property management firm, is hiring an Assistant Property Manager to manage the day-to-day operations of their mixed residential/commercial portfolio across Boston. This role is highly administrative in nature and will serve as a key point of coordination between tenants, vendors, and internal property management teams to ensure efficient building operations and a high level of tenant satisfaction.

Key Responsibilities

  • Provide administrative support for a portfolio of properties, ensuring smooth daily operations
  • Serve as a primary point of contact for tenant requests, questions, and service needs
  • Coordinate and track maintenance requests and work orders with vendors and engineering teams
  • Assist with preparation of tenant correspondence, notices, and communications
  • Support lease administration, including abstracting leases and tracking key dates (expirations, renewals, rent escalations)
  • Process invoices, code expenses, and assist with accounts payable/receivable functions
  • Maintain accurate property records, files, and reporting documentation
  • Assist in preparing monthly and quarterly property reports
  • Coordinate vendor contracts, insurance certificates, and compliance documentation
  • Support budgeting and financial tracking activities as needed
  • Assist with move-ins, move-outs, and tenant onboarding processes

Qualifications

  • 1–3+ years of experience in property management, real estate, or a related administrative role
  • Strong organizational and time management skills with high attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with property management software (e.g., Yardi, MRI) is a plus
  • Ability to manage multiple priorities in a fast-paced environment
  • Customer-service oriented with a proactive and problem-solving mindset
