Assistant Property Manager
Equus Management Company AZ LLC is seeking an Assistant Property Manager for a Private Commercial Estate Company in Scottsdale, AZ. Employer offers competitive salary, 401k match, medical, dental, life and time off benefits.
DUTIES AND RESPONSIBILITIES include, but are not limited to:
· Respond to all tenant requests for service by arranging for and coordinating all normal operating repairs and replacements. Assess the need, solicit contractors, prepare work orders, purchase orders or contracts, monitor contractors, follow-up on completion and communicate resolution of issue to tenant.
· Review all charges on invoices from vendors/suppliers for the necessary utilities, supplies and services to operate the property and allocate charges to the proper expense category.
· Follow-up with tenants relative to rent delinquencies and take necessary steps to collect rent and other charges. Prepare Rental Arrearage reports and issue late charges.
· Assist Property Manager with preparation of individual tenant reconciliation of operating expenses and real estate taxes on an annual basis as dictated by Leases. Invoice customers accordingly.
· Maintain and manage annual tenant electric billing database.
· Assist Property Manager with budget preparation, as requested.
· Help property manager coordinate tenant move-ins/move-outs.
· Oversee and maintain building systems such as: work order system and suite signage.
· Maintain and update databases relative to tenant contacts, vendor contacts, and property information.
· Maintain updated property records, files and drawings.
· Obtain insurance certificates from customers/vendors and follow-up on expirations and/or renewals.
· Maintain lease files for all tenants including leases and lease amendments, correspondence, billing information and tenant fit-out information, drawings and specifications.
· Prepare incident reports for property or liability claims.
· Assist with preparation, organization, and implementation of other property management functions as required.
EDUCATION AND EXPERIENCE:
· Two (2) to five (5) years experience in commercial property management as an Assistant Property Manager, preferably in a property or facility management position.
