Job Summary:
The Events Coordinator is responsible for planning, coordinating, and overseeing events hosted by the NE Chamber. This includes all planning timelines, attendee registration and coordination, vendor logistics and management, day-of-event set-up, run-of-show and teardown; conducting evaluations and writing reports that lead to ongoing processes for improvement. NE Chamber events are a strategic priority with a focus on outstanding, engaging, memorable event experiences that help meet NE Chamber objectives, while assuring member and sponsor value.
Duties:
- Plan, organize, and manage NE Chamber dinners, receptions, large meetings and conferences from concept through completion, ensuring they meet organizational standards and goals to deliver a top-tier experience for members and guests.
- Create event plans complete with venue sourcing, layout and logistics, menu selection and catering, audio/visual, entertainment, signage and materials. Support development of event objectives, themes and attendee outcomes.
- Coordinate and conduct outreach with speakers and presenters.
- Coordinate all event promotion, design and registration, ticket sales, and attendee communication before, during, and after the event.
- Ensure that all event materials and supplies are ordered, delivered, and prepared on time.
- Track and report expenses, staying in budget and reporting against ticket and sponsor revenue.
- Consistently evaluate the success of events post-execution, gather feedback and suggest improvements for future events, and update checklists for future events.
- Assist with virtual conferences, webinars and meetings requiring advance registration and electronic delivery of materials, access points and followup communication.
- Coordinate internal Events Team communication to ensure event planning, registration, and other deliverables are on track using checklists for accountability management.
- Prepare and manage event expense and revenue reports ensuring events are delivered within budget and in line with financial objectives.
- Assist in developing marketing materials and promotional strategies for events, to drive attendance and engagement.
- Assist in coordinating and delivering sponsor benefits that involve events.

KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS:
- Experience planning, coordinating and executing corporate, organizational or other special events.
- Demonstrated organizational and project management skills.
- Strong attention to detail and problem-solving abilities.
- Excellent time management skills, with a “never fail” attitude on meeting deadlines.
- Excellent written and verbal communication skills.
- Understand basic marketing communication and the role of media methods and messaging in event promotion.
- Able to work under pressure and manage multiple events simultaneously. Ability to adapt quickly to changing priorities and challenges.
- Excellent interpersonal and customer service skills. Professional and polished demeanor, particularly when dealing with clients and event guests.
- Proficiency in utilizing a database, CRM and Microsoft Office Suite. Experience in Canva and PowerPoint. Able to manipulate graphics and publish simple yet attractive digital event pages, calendar items, registration sites, feedback surveys and agendas.
- Knowledge of financial management and reporting related to events.
- Able to work collaboratively and with authority on diverse teams, and with vendors and stakeholders.
MINIMUM QUALIFICATIONS:
- Experience in event planning or management
- Associate degree minimum; bachelor’s degree in hospitality management, public relations, Event Management, Marketing, or a related field preferred
- Ability to travel for event support when necessary
- Ability to lift, move, and transport 50 pounds
PREFERRED QUALIFICATIONS:
- Experience and skill in graphic design, social media or a media platform
- Knowledge of AI tools, business intelligence and analytics, advanced CRM, query-writing, advanced Excel
- Experience identifying new event opportunities and initiating, planning and executing new events
